Document Library Considerations

Separate folders must be created for each security group that has a document. This allows you to secure the folder to the security group in AD and add additional documents to the same folder. Securing the folder eliminates the need for applying item-level security to each document. The folder structure also simplifies the user's access to the documents. Security trimming automatically handles pulling only those documents for the logged-in user. If implemented properly, users are not even aware that folders are being used. A custom front end can be used to enable style customizations and to further abstract the back end structure.


Although the importance of proper security and privacy are not to be underestimated, it is advantageous to do this in a cost effective way. The technique outlined in this article allows you to secure documents to individuals without incurring unnecessary costs in terms of support and maintenance.
